Terms & policies

General Terms & Conditions

These General Terms & Conditions apply to bookings for On the Hill Crafts Makers’ Retreats.

Each retreat may also have its own Retreat-Specific Terms & Conditions, including pricing, deposit amounts, payment dates, accommodation arrangements, cancellation conditions, workshop requirements and other information relevant to that particular retreat.

Where there is a difference between these General Terms & Conditions and the Retreat-Specific Terms & Conditions, the retreat-specific terms will apply.

Where a retreat includes accommodation at Yarraman Caravan Park & Cabins, your stay is also subject to Yarraman Caravan Park & Cabins' applicable accommodation terms, conditions and park rules.

By making a booking, you acknowledge that you have read and agreed to both these General Terms & Conditions and the terms provided for your chosen retreat.

Bookings

Bookings are subject to availability and are not confirmed until the required deposit or booking payment has been received.

The person making the booking is responsible for ensuring that the information provided is accurate and complete.

Bookings are for the person named on the booking unless a transfer has been approved by On the Hill Crafts.

Retreat places are limited and may be offered on a first-come, first-served basis.

Deposits and Payments

The deposit amount, total retreat cost, payment schedule and payment due dates will be provided with the information for each retreat.

Unless otherwise stated in the Retreat-Specific Terms & Conditions, a deposit is required to secure your place.

All payments must be made by the dates specified for the retreat.

If a payment is not received by the due date, we may contact you to arrange payment. If payment remains outstanding, we reserve the right to release your place to another person.

Any inclusions and exclusions will be clearly outlined for each retreat.

Your retreat booking may include accommodation, meals, workshops, activities or other inclusions depending on the retreat selected.

Cancellations and Refunds

Cancellation and refund arrangements may vary between retreats and will be outlined in the Retreat-Specific Terms & Conditions.

Unless otherwise stated, deposits are non-refundable.

If you can no longer attend, please contact us as soon as possible.

Where appropriate, we may allow your booking to be transferred to another person, subject to our approval and any retreat-specific requirements.

Where a refund is available, it will be returned using an appropriate payment method.

We encourage attendees to consider appropriate travel insurance where relevant, particularly where travel or other non-refundable costs are involved.

Waitlist

When a retreat is fully booked, we may offer a waitlist.

Joining a waitlist does not guarantee a place at the retreat.

If a place becomes available, we may contact people on the waitlist using the contact details they have provided.

An offer from the waitlist may have a specified timeframe for acceptance and payment. If we do not receive confirmation within that timeframe, the place may be offered to the next person on the waitlist.

There is no charge to join a waitlist unless otherwise advised.

Accommodation

Accommodation arrangements vary between retreats and will be outlined before booking.

Where accommodation is included or booked as part of the retreat, accommodation availability is subject to the options offered for that particular retreat.

Room or cabin preferences will be accommodated where possible but cannot be guaranteed unless specifically confirmed.

Check-in and check-out times will be provided before the retreat.

Guests are responsible for following any reasonable accommodation or venue rules during their stay.

Where accommodation is shared, attendees are expected to be considerate of the other guests sharing the space.

Any additional nights, upgrades or other accommodation arrangements outside the retreat package may be subject to separate charges and availability.

Yarraman Caravan Park & Cabins Terms

Where accommodation is provided by Yarraman Caravan Park & Cabins, guests are also subject to Yarraman Caravan Park & Cabins' own accommodation terms, conditions and park rules.

These may cover matters such as check-in and check-out, pets, noise, smoking, visitors, use of facilities, damage, guest conduct and other accommodation-related requirements.

Yarraman Caravan Park & Cabins' terms and rules apply to the accommodation and use of park facilities. These General Terms & Conditions and any Retreat-Specific Terms & Conditions continue to apply to the Makers' Retreat itself, including retreat bookings, payments, workshops, waitlists and retreat cancellations.

Where there is a conflict relating specifically to the accommodation or use of park facilities, the applicable Yarraman Caravan Park & Cabins terms and rules will apply.

Changes to Accommodation or Retreat Arrangements

From time to time, it may be necessary to make reasonable changes to accommodation, workshop schedules, instructors, activities, meals, venues or other retreat arrangements.

Where a significant change occurs, we will make reasonable efforts to let affected attendees know as soon as possible.

Minor changes to the program or schedule do not automatically entitle an attendee to a refund.

Minimum and Maximum Numbers

Each retreat may have minimum and maximum attendee numbers.

If minimum numbers are not reached, On the Hill Crafts may cancel or reschedule the retreat.

If we cancel a retreat because minimum numbers have not been reached, payments made directly to On the Hill Crafts for that retreat will be refunded.

Cancellation or Changes by On the Hill Crafts

In some circumstances, On the Hill Crafts may need to cancel, postpone or substantially change a retreat due to circumstances outside our reasonable control or where the retreat cannot reasonably proceed.

If we cancel a retreat, attendees will be contacted as soon as reasonably possible and the applicable refund or alternative arrangements will be explained.

Unless required otherwise, On the Hill Crafts is not responsible for separate costs incurred by attendees, such as transport, additional accommodation or other personal expenses.

Health, Allergies and Dietary Requirements

Attendees should advise us of relevant allergies, dietary requirements or other information that may reasonably affect their participation in the retreat.

We may collect this information during booking or through a pre-retreat questionnaire.

We will make reasonable efforts to accommodate dietary requirements and allergies that have been disclosed to us, but we cannot guarantee that an environment will be completely free from particular allergens.

Attendees are responsible for determining whether they are able to safely participate in workshops and activities.

If you have any concerns about participating in a particular activity, please speak with us before the retreat.

Workshops, Equipment and Personal Responsibility

Some retreats may require attendees to bring their own equipment, tools, materials, patterns or other items.

Requirements will be provided before the retreat.

Attendees are responsible for using their own equipment safely and following reasonable instructions provided by facilitators.

Personal equipment and belongings brought to a retreat remain the responsibility of the attendee.

Patterns and Intellectual Property

Some retreats may require attendees to purchase or own particular sewing, quilting, bag-making, craft or other patterns.

Where this applies, the required patterns and any proof-of-purchase requirements will be provided in the Retreat-Specific Terms & Conditions.

Patterns, teaching materials and other intellectual property belonging to designers, facilitators or third parties must not be copied, shared, distributed or reproduced without permission.

Behaviour and Respect

Our Makers’ Retreats are intended to provide a relaxed, friendly, inclusive and welcoming environment.

Attendees are expected to treat other guests, facilitators, staff, venue staff and property with respect.

Behaviour that is threatening, abusive, discriminatory, disruptive or otherwise seriously affects the experience or safety of others may result in the attendee being asked to leave.

Where an attendee is required to leave because of their behaviour, a refund may not be provided.

Alcohol, Smoking and Noise

Where alcohol is permitted, attendees are expected to drink responsibly.

Smoking and vaping must only take place in areas where they are permitted by the venue.

Attendees should keep noise at a reasonable level, particularly during evenings and around accommodation areas.

Damage and Breakages

Attendees are responsible for taking reasonable care of accommodation, retreat facilities, equipment and other property.

Where an attendee causes damage or breakage through their actions, they may be responsible for reasonable repair or replacement costs.

Personal Belongings

Attendees are responsible for their own belongings during the retreat.

On the Hill Crafts cannot guarantee the security of personal items left in accommodation, workshop spaces, communal areas or other retreat locations.

Please take reasonable care of valuables and important personal belongings.

Photography and Video

Photos and videos may be taken during retreats for On the Hill Crafts' website, social media and promotional material.

If you would prefer not to be photographed or included in promotional content, please let us know before the retreat or speak with us during the retreat.

We will make reasonable efforts to respect these requests.
